What Goes in Your Record — And What Doesn't
Our clinical records are protected under HIPAA and are completely separate from your VA medical records and DoD personnel file. An ESA evaluation conducted through our service does not appear in your VA record, is not reported to DoD, and is not shared with military command, the Army, Air Force, or any federal agency without your explicit written authorization.
For security clearance holders: an ESA evaluation is not a psychiatric treatment encounter reportable for most clearance purposes. However, we always recommend consulting DoD Instruction 6490.12 (Mental Health Evaluations of Members of the Military) and speaking with your FSO if you have specific clearance concerns about any mental health engagement.

Military spouses and family members carry their own mental health burden — caregiver fatigue, frequent PCS moves, service-member deployment anxiety, and the compounding stress of military family life can all present as qualifying mental health conditions. ESA evaluation is available to any Alabama resident, including military family members who have never served themselves.
Grief and bereavement following the death of a service member, adjustment disorder during the reintegration period, and secondary trauma from living with a service member experiencing PTSD are all presentations we evaluate with clinical sensitivity.

I already have a VA PTSD rating — does that streamline the evaluation?
A VA service-connected PTSD rating is significant clinical documentation that informs our evaluation. While our licensed Alabama therapist still conducts an independent clinical determination, an existing VA PTSD rating substantially supports the evaluation and typically streamlines the process, often reducing or eliminating the need for a live consultation.
Does the VA provide ESA letters?
VA providers can technically provide ESA letters if they have an established therapeutic relationship and the clinical basis to support the recommendation. However, many VA mental health providers decline to write ESA letters due to policy constraints or caseload. Our evaluation is independent of the VA and designed specifically to meet the clinical documentation standard.
Can my military housing (privatized) accept this ESA letter?
Yes. Privatized military housing communities operate under FHA accommodation procedures. Our documentation meets the FHA standard. Specific procedures vary by installation and management company — we recommend confirming the submission process with your housing office. Our letters are formatted to meet standard privatized housing company review requirements.
I'm recently separated — does veteran status vs. active duty make a difference?
No. The evaluation is the same regardless of current service status. Both active duty and separated veterans living in Alabama off-base housing have the same FHA accommodation rights and are evaluated using the same clinical standards.
